Salary: £25,500 to £27,500

About the Role

We are looking for an organised and proactive Estates Compliance and CAFM Administrator to join our Estates and Facilities team. This role plays a vital part in ensuring our learning environments are safe, compliant, and efficiently managed.

The successful candidate will oversee the administration of our compliance records and asset data within the Computer-Aided Facilities Management (CAFM) system, supporting the Estates team in maintaining a high standard of statutory compliance across the school/college/university estate.

This is an excellent opportunity for someone with strong administrative and IT skills who takes pride in accuracy and enjoys contributing to the smooth operation of educational facilities.

Key Responsibilities
  • Maintain and update the CAFM system with accurate asset information, planned preventative maintenance (PPM) schedules, and statutory compliance data.
  • Ensure all statutory inspections and maintenance activities (e.g. fire safety, water hygiene, asbestos, gas, and electrical testing) are completed, documented, and stored appropriately.
  • Track and report compliance performance, highlighting any areas requiring attention.
  • Liaise with internal stakeholders, contractors, and external auditors to ensure compliance records are up to date.
  • Support Estates Managers in preparing documentation for audits, inspections, and governance reports.
  • Assist with the coordination of reactive and planned maintenance tasks via the CAFM system.
  • Provide general administrative support to the Estates and Facilities team, including data entry, report generation, and filing.
About You
  • Experience working in an estates, facilities, or compliance administration role-experience within the education sector is highly desirable.
  • Proficient in the use of CAFM systems (e.g. Planon, Concept, or similar) and confident handling large data sets.
  • Strong attention to detail, with the ability to manage competing priorities and deadlines.
  • Good understanding of statutory compliance relevant to buildings and estates (training can be provided).
  • Excellent communication and teamwork skills, with a customer-focused approach.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
