Principal Estate Services Coordinator Location: Local Authority (London) Contract: 3-month rolling contract Agency: ATOM RECRUITMENT Start: ASAP Type: Full-time ATOM RECRUITMENT are currently seeking an experienced Principal Estate Services Coordinator to join a local authority on a 3-month rolling contract . This is an excellent opportunity for an experienced estates professional to step into a senior operational role supporting the delivery of high-quality estate services for residents and communities. About the Role As the Principal Estate Services Coordinator , you will support and deputise for the Estate Services Area Manager , ensuring estates are maintained to the highest standards of cleanliness, safety, security, and appearance . You will lead, supervise, and support a team of caretakers, helping drive performance, wellbeing, professional development, and compliance with health and safety. You will be responsible for the delivery and monitoring of estate services across your allocated patch, including cleaning, grounds maintenance, communal repairs, waste management, and resident engagement. You'll act as a key point of contact for residents, staff, councillors, and partner agencies-ensuring a cohesive and effective service. Key Responsibilities Team Leadership & Staff Management Manage a team of caretakers (including mobile relief and agency staff) to deliver a high-quality, responsive estates service. Conduct inductions, training, performance reviews, and wellbeing assessments. Monitor sickness, conduct, performance, and health & safety compliance. Maintain appropriate staffing levels and accurate workforce records. Support the management of Estate Services Coordinators and Quality Assurance Officers as required. Estate Inspection & Service Monitoring Regularly inspect communal areas, cleaning standards, estate lighting, horticulture, repairs, garages, and play areas. Track remedial actions through to completion. Build strong working relationships with refuse teams, repairs, tenancy management, community safety, police, and other partners. Health & Safety Compliance Complete fire safety inspections, fire risk assessment actions, and other H&S tasks within agreed timescales. Update relevant systems and collaborate closely with Corporate and Neighbourhood H&S teams. Resident Engagement & Communications Review estate feedback, complaints, and inspection reports to identify issues and implement improvements. Provide clear, timely written and verbal responses to residents, councillors, MPs, and partner agencies. Support the team in managing enquiries in the absence of the Area Manager. Operational Oversight & Record Management Maintain estate performance reports and accurate records of caretaker storage areas, equipment, and materials. Ensure caretakers have sufficient PPE, supplies, and compliant facilities. Work with H&S colleagues to address and resolve issues promptly. Emergency Response Attend estate emergencies, supporting residents, emergency services, and utilities to protect safety and council property. Partnership Working Collaborate with other Estate Services Coordinators and area teams, providing cover where necessary. Work with internal teams and external partners to address complex issues, including antisocial behaviour. Community Engagement Work with Tenant & Resident Associations (TRAs), leaseholder groups, TMOs, and co-operatives. Attend resident meetings, including some evenings. Conduct joint estate inspections with TRAs and councillors. Service Improvement & Local Estate Knowledge Contribute ideas to improve services and help develop new policies and procedures. Build strong knowledge of local estates and communities to inform improvement plans. Lead estate development projects as directed by the Area Manager. Systems & Reporting Use agreed IT systems for caretaking, inspections, and fire safety reporting. Adapt to new IT systems introduced for estate service delivery. Ideal Candidate Experience supervising caretaking or estate services teams. Strong knowledge of estate management, maintenance, cleaning, grounds services, and resident engagement. Excellent communication skills-written and verbal. Strong understanding of health & safety, including fire safety compliance. Ability to build strong relationships with internal and external partners. Confident leading teams, managing performance, and driving standards. Flexible, proactive, and highly organised.
