Patient CoordinatorLocation: Central London - Site Based (On-Site)Working Hours: Monday to Friday, 8:45 AM to 6:00 PM (with occasional Saturdays)Salary: Up to £40,000 per annum (based on experience)

About the Role

We are seeking a confident, dedicated, and experienced Patient Coordinator to join our client's team in a back-office administrative capacity. This is a behind-the-scenes role, focused on appointment management and administrative support, ensuring an exceptional patient experience from initial inquiry to post-treatment follow-up.

Please note that this position does not include commission, as the company believes it is inappropriate to financially incentivise the sale of surgical procedures. However, a discretionary team performance bonus is shared among all staff members based on the overall success of the clinic.

Key Responsibilities

Patient Coordination & Administration

  • Serve as the primary point of contact for patients via phone and email, ensuring a seamless journey from inquiry through to treatment and beyond.
  • Deliver accurate information about procedures, pricing, and packages as directed by clinical teams.
  • Maintain professionalism and complete confidentiality in every interaction.
  • Support the day-to-day running of the clinic and collaborate closely with clinical and admin colleagues to maintain accuracy and efficiency.

Appointment Management & Scheduling

  • Manage and optimise patient bookings, including scheduling, rescheduling, and cancellations.
  • Ensure smooth diary coordination to support clinic operations.
  • Oversee payment administration and check-out processes.
  • Handle multiple administrative tasks with efficiency and exceptional attention to detail.

Service Enhancement & Patient Support

  • Support clinic initiatives to maintain full appointment schedules.
  • Confidently communicate treatment plans, pricing, and service information via phone and email.
  • Uphold the clinic's high patient care standards and provide administrative support for post-treatment follow-ups.

Candidate Profile

Essential Requirements

  • Minimum of 5 year experience as a Patient Coordinator or in a similar role within an aesthetic or cosmetic surgery environment - this experience is essential for consideration.
  • Strong communication skills with excellent written and spoken English.
  • Organised, reliable, and able to multitask effectively in a busy environment.
  • Professional, detail-oriented, and able to collaborate well with clinical and administrative teams.

Recruitment Process

Shortlisted candidates will attend a face-to-face interview, followed by a three-hour paid trial to assess suitability for the role and team.
