We are seeking a proactive and highly organised O&M Coordinator to support the preparation, management, and delivery of Operation & Maintenance documentation across multiple projects.
This role is vital to ensuring compliance, seamless handovers, and accurate technical records for both clients and internal teams. You will work closely with project managers, subcontractors, and suppliers to gather essential information, maintain compliance documentation, and ensure all O&M requirements are delivered to the highest standard.
Key Responsibilities
Coordinate the creation, organisation, and delivery of all O&M documentation for assigned projects.
Liaise with subcontractors, suppliers, and internal teams to collect technical data, certificates, warranties, and compliance documents.
Review all documentation to ensure accuracy, completeness, and alignment with project and regulatory requirements.
Maintain and update documentation trackers to ensure key milestones are met.
Assist in tracking inspections, certifications, and compliance milestones.
Maintain accurate service logs, inspection reports, permits, and compliance documentation.
Prepare weekly or monthly O&M status reports for clients.
Update digital systems or CMMS (Computerized Maintenance Management System) as required.
Support project handovers by ensuring all documentation is complete and client-ready.
Assist with improving O&M templates, systems, and internal processes.
About You
Previous experience in operations, maintenance coordination, facilities support, document control, or a related field.
Strong organisational and time-management skills with excellent attention to detail.
Excellent communication and follow-up abilities, with confidence when working with subcontractors and internal teams.
Proficiency with office software (e.g., Excel, Google Workspace) and a willingness to learn O&M or CMMS systems.
Ability to manage multiple tasks and priorities within tight deadlines.
A proactive, solutions-focused approach, comfortable working independently or within a team.
