Job Description

Thrive Oldham are delighted to be working with our client in the Leicestershire area who are actively looking to recruit Business Support Administrator.

Job Purpose

To provide administrative support to the Corporate Learning and Development Service and Management Team, including rang of customers, internal/external stakeholders and partners. Ensuring that the service provided is business focused.

Main Duties and Responsibilities


1.

Administration of all learning and development activities and events, including arranging venues, catering, resources, nominations process, maintenance of databases and learning management system


2.

Diary Management - maintain electronic calendars for members of the Corporate Learning and Development Management Team, arrange learning and development events, appointments, meetings, venues and travel but also organise the calendar to allow for preparation time for meetings e.g. report writing. Ensure the Corporate Learning and Development Management Team has the necessary annotated papers in good time to review for meetings


3.

To ensure orders are processed and full and accurate budgets records are maintained.


4.

Maintain and operate comprehensive and efficient filing and documentation collation in accordance with data protection laws and confidentiality requirements


5.

Undertake the organisation and administration of learning and development events and meetings. This includes issuing contracts, liaising with external service providers, and general administration such as the preparation and circulation of learning and development materials, agendas and the taking and distribution of minutes/outcome of events. Ensure action points, both own and others are followed up and completed. Be prepared to contribute in meetings relating to projects being undertaken by the management team and to receive action points to process.


6.

To receive visitors and ensure all associated with Learning and Development, ensuring catering arrangements/room bookings have been made


7.

Respond to and screen telephone calls, e-mails and other enquiries. Provide high level of customer care. Ensure that emails are flagged up with the appropriate level of urgency displayed in the inbox title bar of the message or are dealt with immediately, if necessary, in a member of the Corporate Learning and Development Management Team's absence.


8.

Co-ordinate incoming and outgoing correspondence/mail, taking appropriate action to record, track, progress and prioritise work, composing correspondence on own initiative, as required.


9.

Undertake research to assist with policy development, skill levels, etc.


10.

Producing typed documents from shorthand/machine dictation and handwritten drafts using various software packages.


11.

Maintenance of the Corporate Learning and Development intranet, EIS and CIS.


12.

Supporting as appropriate the Corporate Learning and Development function.


13.

Supporting as appropriate any Council schemes, e.g. Equality and Diversity Learning and Development Plan.

Special Factors

The nature of the work may involve the jobholder carrying out work outside of normal working hours.

Experience

Experience of delivering an effective service of deadlines. Previous administration, experience at a similar level. Experience of organising events such as training, meetings, booking venues, arranging delegate attendance, scheduling large groups to attend etc.

Evidence of maintaining manual and electronic administrative systems. Knowledge and experience of using standard software packages, i.e major components of Microsoft Office or equivalent.

Administering and taking minutes of meetings, answering general routine correspondence and queries on behalf of members of the Corporate L&D Service. Experience of working with a computerised learning management system.

Knowledge

Business and commercial awareness. Wide range of computer systems and packages.

Factors not already covered

Ability to travel to service points within Leicestershire County Council in a cost efficient way. Must be able to perform all duties and tasks, with reasonable adjustments, where appropriate, in accordance with the provisions of Equality's Act 2010
