The Role

This is an exciting opportunity for an experienced Executive Assistant to provide high-level, proactive support to a Managing Director within a fast-paced, high-profile environment.
You will play a key role in ensuring the smooth and efficient running of the Managing Director s office, acting as a trusted point of contact, managing complex administrative duties, and enabling effective communication with internal and external stakeholders.
This role requires exceptional organisation, discretion, and the ability to work confidently with senior leaders, partners and stakeholders across the business.
What You ll Be Doing

  • Providing comprehensive administrative and executive support to ensure the Managing Director s office operates effectively.
  • Preparing papers, documentation and providing a professional minute-taking service for meetings including senior leadership and board-level forums.
  • Ensuring the Managing Director is fully briefed, prepared and supported at all times.
  • Acting as the first point of contact for day-to-day activities, liaising with colleagues and external partners in a professional and efficient manner.
  • Managing diaries, scheduling meetings, booking rooms and ensuring meeting materials are prepared and accurate.
  • Handling incoming mail, drafting responses and managing enquiries with professionalism and discretion.
  • Building strong working relationships with internal teams and external stakeholders.
  • Handling sensitive and confidential information with appropriate judgement and security.
  • Coordinating signing, tracking and control of documentation such as contracts, authorisations and appraisals.
  • Managing foreign currency processes when required, including reconciliation in collaboration with finance.
  • Processing expenses, arranging travel and managing associated logistics.
  • Supporting HR-related processes on behalf of the Managing Director.
  • Coordinating and delivering internal projects as agreed.
  • Ensuring work is undertaken in line with Health & Safety requirements and best practice.

What We re Looking For

  • Strong Microsoft Office capability.
  • Excellent written and verbal communication skills with high attention to detail.
  • First-class organisational and time management skills.
  • Confident decision-making and problem-solving ability.
  • Able to communicate effectively at all levels across the organisation.
  • Ability to prioritise work and meet tight deadlines.
  • Proven experience supporting a Senior Director, Managing Director, CEO or equivalent.
  • Ability to quickly learn and work effectively with IT, HR and other internal systems.
  • A flexible, resourceful and proactive professional with strong interpersonal skills.
  • High level of discretion and professionalism when handling confidential information.
