Position: Streetpride Operational Support Officer Location: Stores Road, Derby, DE21 4BD Start Date: ASAP Contract Duration: 10+ Months Working Hours: 37 hours per week Pay Rate: £ 14.35 Per Hour Job Reference: (phone number removed) What we are looking for We are seeking a reliable and organised Operational Support Officer (Workshop Administrator) to provide administrative and operational support within the Workshop function at Stores Road Depot. This is a non-frontline role ideal for candidates with strong admin, coordination, and customer service skills. Job Responsibilities Provide administrative support to the Workshop and Fleet operations Receive visitors and handle workshop reception duties Book in planned and reactive maintenance work Create and manage job records for technicians using Fleet Management systems Manage vehicle keys, tagging, and workshop parking coordination Issue courtesy vehicles when required Keep internal stakeholders updated on vehicle progress Maintain and update spreadsheets and internal systems Enter manual records and maintain accurate vehicle files Assist with financial/admin tasks including recharge information Support Fleet operations during staff absences (e.g., hire vehicles, fuel cards) Ensure a high standard of customer service at all times Requirements Essential Previous experience in administration or clerical roles Strong IT skills (MS Excel, Word, Outlook) Good organisational and time management skills Strong communication and customer service abilities Ability to work both independently and as part of a team Attention to detail and ability to manage records accurately Desirable Experience in a fleet, workshop, or transport environment Knowledge of Fleet Management systems Understanding of financial/admin processes Awareness of Equality Act 2010 Additional Requirements Must be comfortable working in a depot environment PPE required: Hi-Vis Jacket & Safety Shoes Flexible and willing to support operational needs DISCLAIMER : By applying for this vacancy, you consent to your personal information being shared with our client and any relevant third parties we engage with, for the purpose of assessing your suitability for the role. Reporting directly to the Engineering Manager you will be the go-to person for providing administrative support to the engineering team. This is an exciting opportunity for someone who thrives in a dynamic environment, excels in multitasking, and has a keen eye for detail. Hours: The shift pattern for this role is 40 hours per week, 08:00 - 17:00, Monday to Friday. What you'll be doing: Maintain the purchasing system (Microsoft D365), raise & issue, receipt orders, capture all spend uniquely to each site & regularly update site specific stakeholders, indicating spend to date (weekly) to support monthly & YTD budget compliance, to flag any unbudgeted spending to site specific stakeholders. To renew service contracts when required at the approval of departmental leads, to create service contract matrix, to indicate frequencies, due dates & valid periods. Contractor control, to monitor contractor matrix, to reach out to relevant firms to update their records, Insurance certificates & evidence of competency to ensure compliance and in line with GDPR procedures. To maintain engineering training matrix, to update records & arrange refresher or full training when required to demonstrate individual competence & compliance at the approval of departmental leads. To work with group H&S to obtain monthly reviews of Human focus training, escalate to department stakeholders any requirements to ensure compliance To minute/scribe engineering/site meetings & distribute accordingly To demonstrate a proactive involvement in the achievement of the site strategy and departmental targets and KPI's with a site-specific dashboard Oversee the control, ordering and organisation of maintenance parts, materials and consumables to ensure appropriate stock levels and accurate record-keeping. Manage all external contractors on site, including coordinating inductions, issuing and verifying Permits to Work, and ensuring full compliance with site safety procedures. Maintain and update the planned maintenance schedule, ensuring all activities are completed on time and recorded accurately About you: Minimum 2 years' experience in an engineering / admin role, ideally within food manufacturing. Experience with Microsoft D365 Computer literate. Experience working with budgets and projects Good communication skills (Written and verbal). Results orientated. Continuous improvement mindset. Organised and systematic. Able to work to own initiative.
