Job Description

We are hiring for an organised and proactive Business Support Administrator on behalf of a well-respected facilities management business with a strong reputation in the market.

This is a key coordination role supporting planned maintenance and additional works across a busy contract. You will work closely with Contract Managers and the Facilities Manager to ensure subcontractors meet service levels, compliance standards are maintained, and completion targets are achieved.

Key Responsibilities:

  • Coordinate and schedule Planned Preventative Maintenance (PPM) visits.
  • Liaise with subcontractors to confirm attendance, manage RAMS, and obtain service reports.
  • Monitor completion rates and escalate delays or issues where required.
  • Support the quotation process for additional works and issue approved costings.
  • Raise purchase orders and track works through to completion.
  • Act as the first point of contact for administrative queries and provide timely updates on works and ETAs.
  • Upload service reports, RAMS, and certification to client compliance systems within required deadlines.
  • Ensure all documentation is accurate.
  • Support internal compliance checks and contribute to continuous improvement of administrative processes.

The Ideal Candidate:

  • Proven experience in an administrative or coordination role within Facilities Management, maintenance, or building services (Essential).
  • Experience managing subcontractors and PPM schedules.
  • Familiarity with compliance documentation (RAMS, service reports, certification).
  • Confident using Microsoft Office, client portals, and CAFM/document control systems.
  • Strong organisational skills with the ability to manage multiple priorities and tight deadlines.
  • Professional communicator with a proactive, detail-focused approach.

  • Shift: Monday to Friday - 8:00am to 4:30pm
