Job Description

Donations and Data Officer

Salary: £25,000 - £29,000 per annum (depending on experience)Contract: PermanentLocation: Nottingham (NG5)Start Date: ASAP

Working Hours:

  • 37.5 hours per week
  • 9:00-17:00 during initial training (first 3 months)
  • Flexible between 08:00-17:00 thereafter
  • Hybrid working available after 6 months (2 days from home), or fully office-based if preferred

Interview Process:

  • 45-minute interview
  • Followed by Excel test (20-30 minutes)

Role Overview

  • Support the accurate processing, recording and management of donations
  • Provide administrative and data support to fundraising and finance functions
  • Ensure high standards of data accuracy and financial integrity
  • Contribute to delivering a positive experience for donors and supporters

Key Responsibilities

Donation Processing & Banking

  • Process and record donations from multiple channels (cash, cheque, BACS, online platforms, etc.)
  • Handle banking of donations in line with procedures
  • Process card payments and telephone donations
  • Manage website donations and event registrations
  • Administer and review direct debit payments

Database & Records Management

  • Input and maintain accurate donor and donation records
  • Allocate funds correctly to appeals and campaigns
  • Keep donor records up to date to support communications and acknowledgements

Reporting & Reconciliation

  • Download and reconcile reports from donation platforms
  • Ensure accurate data transfer between databases and finance systems
  • Meet reporting deadlines in line with finance schedules

Gift Aid & Compliance

  • Support Gift Aid processes, including claims and eligibility checks
  • Ensure compliance with HMRC regulations
  • Maintain data protection standards (GDPR and related legislation)
  • Monitor donor consent and communication preferences

Customer Support & Engagement

  • Provide excellent service to donors, staff and the public
  • Assist with funeral donations and third-party fundraising activities
  • Promote best practice in donation handling across departments

Systems & Process Improvement

  • Support improvements to database systems and processes
  • Assist in developing new ways to capture donations
  • Contribute ideas to enhance efficiency and donor experience
  • Stay informed on fundraising trends

Team Support

  • Act as a professional and welcoming first point of contact for visitors and donors
  • Work collaboratively with colleagues across teams
