My client is seeking an Administration Coordinator to join their busy team. This is an excellent opportunity to play a key role in supporting the day-to-day supporting of the business, ensuring engineers, clients, and internal teams remain connected while delivering a first-class service. You will be responsible for coordinating administration processes, managing client enquiries, scheduling works, and ensuring invoicing is completed accurately and on time.

Responsibilities

  • Process and issue client invoices accurately
  • Handle incoming telephone calls, responding professionally to client enquiries, breakdown requests, maintenance bookings, and general queries
  • Log, monitor, and coordinate emergency breakdowns and planned maintenance jobs, ensuring engineers have the necessary information to complete works efficiently
  • Liaise with engineers, clients, and suppliers to coordinate schedules, confirm appointments, and provide updates on job progress
  • Maintain accurate records within the company's job management system, ensuring information is up to date and easily accessible
  • Support the operations team with a range of administrative duties to ensure the smooth running of daily business activities
  • Monitor outstanding jobs and ensure all relevant paperwork is completed and processed promptly
  • Provide excellent customer service, building positive relationships with clients and responding efficiently to requests
  • Assist with reporting, document management, and general office administration as required
  • Work collaboratively with colleagues across the business to ensure operational objectives are achieved

Person Specification

  • Previous experience within an Administration Coordinator, Service Coordinator, Scheduler, or similar administration role is essential
  • Excellent organisational skills with the ability to manage multiple tasks and prioritise workloads effectively
  • Strong communication skills with a professional and confident telephone manner
  • Proficient in Microsoft Office applications
  • Excellent attention to detail

Working hours for this role are part-time, Monday to Friday - 8.30 am - 1.30 pm
