Family Law Executive - Part-Time, 12-Month Maternity Cover Location: HertfordHours: 17.5-20 hours per weekContract: 12-month maternity coverSalary: £30,000 pro rataExperience: Minimum 2 years' relevant experience The Opportunity Mosaic Recruitment is delighted to be working with an established and highly regarded professional services organisation in Hertford to recruit an experienced Family Law Executive on a part-time basis. This is a 12-month maternity cover position, working approximately 17.5-20 hours per week, and would suit someone with previous experience supporting a busy Family Law department. You will work closely with Partners and Fee Earners, providing comprehensive administrative, secretarial and case support. This is a varied role requiring excellent organisation, attention to detail and the ability to manage sensitive and confidential information with complete professionalism. The successful candidate will be joining a friendly, supportive team with a strong focus on delivering an exceptional level of client care. Key Responsibilities Your responsibilities will include:
  • Providing comprehensive administrative and secretarial support to Partners and Fee Earners within the Family department.
  • Managing and prioritising workloads to ensure tasks are completed accurately and within required timescales.
  • Handling new client enquiries professionally and sensitively.
  • Completing conflict checks and maintaining new enquiry records and spreadsheets.
  • Managing Fee Earner diaries, appointments and key deadlines.
  • Assisting with billing, raising invoices and client account administration.
  • Arranging payment of disbursements and other case-related costs.
  • Preparing client cost update letters.
  • Filing documents with the HMCTS Family Court via the appropriate online portal.
  • Preparing and typing correspondence and legal documentation.
  • Preparing briefs to Counsel and collating supporting documentation.
  • Preparing and maintaining court bundles and exhibits.
  • Assisting Fee Earners with the preparation of Family Court documentation, including divorce applications/petitions, C100 applications, Form E and Form H.
  • Requesting medical records and other relevant documentation.
  • Updating court bundles as cases progress.
  • Providing audio typing/dictation support where required.
  • Maintaining accurate electronic and paper files.
  • Ensuring all client and case information is handled securely and confidentially.
  • Maintaining clear communication with colleagues, clients, courts, Counsel and other external organisations.
  • Supporting the department with marketing and business development activity where appropriate, including social media.
  • Providing additional administrative support to the department as required.
There may occasionally be a requirement to travel to another office. About You We are looking for someone with at least two years' relevant experience, ideally gained within Family Law or a closely related legal environment. You will need to be confident working with sensitive cases and understand the importance of providing a professional, empathetic and discreet service to clients who may be experiencing difficult personal circumstances. You will ideally have:
  • Previous Family Law or legal support experience.
  • Experience supporting Solicitors, Partners or Fee Earners.
  • Knowledge of Family Law documentation and court procedures.
  • Experience preparing court bundles and legal documentation.
  • Familiarity with HMCTS online court systems would be advantageous.
  • Strong audio and copy-typing skills.
  • Experience with legal billing and client account administration.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail.
  • Strong diary management and organisational skills.
  • The ability to prioritise a varied workload and work to deadlines.
  • A professional and confident telephone manner.
  • Excellent client care skills.
