Job Title: Operational Support Assistant
Reports to: Planning & Operational Support Manager
Location: Northampton (remote)
Contract: Type: 4 days a week/30hrs Contract
Rate: 19 - 21
We're looking for a highly organised and proactive Operational Support Assistant to join our team and help keep our services running smoothly behind the scenes, with remote working and a 4-day working week!
Main Purpose of the Role:
  • Manage supplier invoices and materials payments
  • Handle credits for incorrect or missing goods
  • Provide admin support for internal systems (e.g. Service Connect, Orchard)
  • Organise vehicle repairs, servicing, and assign vans to operatives
  • Support with customer feedback, complaints, and queries
Key Responsibilities as Operational Support Assistant:
  • Finance & Invoicing:
  • Match supplier invoices with orders and deliveries
  • Sort out payment disputes with suppliers
  • Update finance systems and scan documents
  • Help raise purchase orders and check cost codes
  • Support with quotes, variations, and finance reports
  • Administration:
  • Be the first point of contact for fleet/vehicle queries
  • Book vehicle repairs and maintenance
  • Help manage customer feedback and complaints
  • Answer repair calls during busy periods
  • Help update job info and upload documents for void properties
  • Monitor dashboards and follow up on customer queries
  • Keep team attendance records
  • Help with deliveries during busy times
  • Assist with training documents, toolbox talks, and new starter info
What We're Looking For as a Operational Support Assistant:
Essential:
  • GCSEs (including Maths) or similar experience
  • Experience in a busy admin or customer-facing role
  • Basic finance knowledge (invoices, orders, goods received)
  • Good communication and time management
  • Strong IT skills (Outlook, Excel, PowerPoint)
  • Positive attitude and team player
  • Willing to work flexibly, including occasional evenings/weekends
Desirable:
  • NVQ Level 3 in Business Admin (or similar)
  • Experience in a property repairs or housing role
  • Knowledge of Orchard and Service Connect systems
Other Info:
  • You'll need to follow data protection, health & safety, and equality policies
  • You may be asked to help with other tasks from time to time
  • Some evening or weekend work might be required
