Legal Secretary - Residential Conveyancing

  • Location: Basingstoke
  • Job Type: Full-time
  • Salary: Up To £30,000 (Depending on Experience)

We are seeking a dedicated Legal Secretary to join our Residential Conveyancing team. This role involves comprehensive support to our Fee Earners, handling everything from file opening to post-completion tasks. The ideal candidate will have experience in a legal setting, particularly within Residential Conveyancing, and possess strong administrative and organisational skills.

Day-to-day of the role:

File Opening and Pre-Contract:

  • Take instructions from clients and provide quotes.
  • Assist with file opening and obtaining completed Protocol documentation.
  • Prepare and issue contracts and supporting paperwork.
  • Conduct necessary searches and assist Fee Earners with pre-contract work.
  • Ensure compliance with CQS requirements.

Post-Contract:

  • Handle files post-exchange of contracts, including drafting and approving transfers, and liaising with clients for signatures.
  • Manage registration requirements and give Notice of Assignment to Landlord.

Completion and Post Completion:

  • Execute all procedures on the day of completion, including stamping of transfer deeds and making land registry applications.
  • Ensure all files are checked for outstanding matters, report finalisation to clients, and arrange for file archiving.

Other Duties:

  • Provide support to Fee Earners, including typing, file maintenance, and client liaison.
  • Utilise all office computer and software systems after appropriate training.
  • Offer general support across departments and cover for switchboard and post on a rotational basis.

Required Skills & Qualifications:

  • Proven administrative or secretarial experience in a legal setting.
  • Experience in pre and post-completion administration within a Residential Conveyancing Department is desirable.
  • Strong organisational and time management skills.
  • Proactive and able to prioritise effectively.
  • Excellent interpersonal skills, including in-person, phone, and written communication.
  • Familiarity with case management systems, experience with LEAP is advantageous but not mandatory.
