Job Description

We are looking for a proactive and organised Administrative Assistant to join our client, a Financial Services firm in the City of London.

Your role will be to help ensure the smooth operation of the office. This part-time, office-based role involves working closely with the Office Manager to keep daily operations running efficiently. The position is well-suited to someone who is detail-oriented, dependable, and enjoys a varied workload, including office coordination, reception tasks, and general administrative support.

The role will include:

Office Administration

  • Maintain a clean, organised, and professional office environment in collaboration with the Office Manager.
  • Prepare meeting rooms ahead of bookings, including set-up, clearing, supplies, and refreshments if required.
  • Manage weekly office shopping and replenish supplies such as kitchen items and stationery.
  • Support general office operations and handle ad hoc administrative tasks such as diary management and document formatting.

Company Secretarial Support

  • Manage incoming client post, ensuring all correspondence is logged and processed correctly.
  • Forward client post to the relevant parties promptly.
  • Prepare and send outgoing client post.
  • Assist with basic administrative duties related to company secretarial work.

Reception & Front of House

  • Provide reception cover when needed, acting as the first point of contact for visitors and phone calls.
  • Greet clients and guests professionally and courteously.
  • Assist in coordinating guest arrivals, including meeting and directing visitors.

Skills & Experience

  • Previous experience in an administrative or office support position is preferred.
  • Strong organisational skills and keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Capacity to multitask and prioritise responsibilities effectively.
  • Professional and approachable manner.
  • Comfortable working independently as well as part of a team.

This is a 2-day-a-week role in the office.
