Your new company are an established regional Main Contractor, operating within Commercial New Build, Refurbishment / Fit Out / Cut & Carve, Cladding / Facade, and Residential. Project values are typically up to 30M. My client are looking for a candidate capable of Assisting the current Senior Document Controller, by administrating the Document Control process of 2-3 projects, whilst also operating out of the Bristol Office. Duties: Carry out routine document control activities on various projects, including QA checks, RFIs, workflows management and transmittals to contractors. Ensure designers and contractors are publishing documents in accordance with the protocols and QA rejected files are revised and resubmitted in a timely manner. Ensure all project documentation is processed, transmitted and/or filed within the EDMS and always up to date. Assist both internal and external members of the project with EDMS, reporting, processes and other queries. Prepare weekly Asite Status Report and distribute to the project team, Head of Document Control and Design Manager. Run reports to show overdue actions and outstanding tasks as part of the weekly reporting process and distribute to the relevant parties for action. Distribute approved design information to the contractors as per project distribution matrix. Create new projects on the EDMS as per agreed template. Produce project specific Information Management Plan using the company template. Ensure Office consumables maintained and ordered in good time Be the focal point for event organization and control of resources (Topping out/groundbreaking/Completion ceremonies). You will oversee the creation of the transition to go-live process, oversee and define the acceptance into service process, lead on the service operating model creation and build the ITIL processes for the future client managed service. Key responsibilities: Service Strategy : Accountable for defining the strategy and plan for the future live service, to include Service Operating Model: Accountable for working alongside the delivery teams and the client organisation to define the future ITIL aligned service operating mode for the programme. Acceptance into Service: Accountable for defining and then overseeing the acceptance into service process alongside the delivery teams and the client organisation to define the future ITIL aligned service operating mode for the programme. Service Catalogue: Oversee the creation of the service catalogue defining the services that encompass the programme and how the client organisation can engage for uptake Stakeholder Management: Collaborate closely with the client, service teams and third-party suppliers in the creation of the ITIL products for the in-life service. Maintain open lines of communication with stakeholders to manage expectations and provide regular updates on the continuous service improvement strategy for the contract. Governance and Service Reporting: Experience in establishing service governance to encompass Service structure Organisation Design Business Relationship Management Business Service Planning Service Level Management Risk Management and Issue/ Problem Resolution : Experience in risk management. Experience in incident analysis and proactive problem management. Ability to lead the team and client on resolving cross service problems. Your Experience: Ideally strong experience as an Oracle Service Designer: Experience of: ITIL process definition Acceptance into Service process and oversight Service operating model creation Service & Programme Experience Strong understanding of: Release Management Change Management Environment Management Configuration and Cost Management
