Committees Coordinator Location: Our office is in central London at the Royal College of Surgeons and we operate hybrid working arrangements (at least 1 day a week to be spent in the office). Position Overview The position will provide high-quality administrative and operational support to the BAUS Governance and Committees Lead, with a particular focus on coordinating elections, awards and committee meeting processes for the six BAUS Specialist Committees. You will administer the full cycle of Committee elections, appointments, awards, fellowships and bursaries, including maintaining schedules, preparing nomination and voting processes, collating applications, communicating outcomes and keeping accurate records. The role will also provide practical meeting management and general administrative support, including preparing meeting packs, arranging logistics, maintaining contact lists and attendance records, supporting inbox management and ensuring governance information is accurate, accessible and up to date. Main Job Functions Elections Coordinate end-to-end elections, appointments and committee membership processes for the BAUS Specialist Committees, including schedules, nominations, voting arrangements and results communications Maintain up to date committee membership lists and a schedule of upcoming elections and role vacancies Awards and Bursaries Schedule and administer nominations, voting and appointments processes for BAUS Section annual awards, fellowships and bursaries, ensuring deadlines, eligibility information and communications are managed effectively Liaise with Committee Executive Officers, committee members and external education providers Meeting Management Provide meeting management support for face-to-face and virtual committee meetings, including scheduling, meeting packs, room and catering arrangements, Teams set-up, attendance records and practical support on the day Governance & Committee Support Manage governance records, registers and digital platforms Provide additional administrative support as required, including updating the CRM, maintaining records, preparing correspondence and supporting routine governance communications Manage methods, processes and procedures for documentation of governance activity Provide governance website updates and draft information for the BAUS Communications Manager for inclusion in newsletters and digital media Ensure adherence to record retention policies and ongoing management of governance records.
