Search Consultancy are currently looking for a Facilities Coordinator to join their client based in Glasgow City Centre on a temporary basis. This contract will last for approx 6 months with the possibility for it to be extended. The hours for this position are Monday - Friday, core hours are 9am - 5pm with some flexibility required to meet the demands of the job. The hourly rate of pay is 20.33ph. Your main duties will include: Ensuring office space is managed and organised at all times that will include desk allocations, management of meeting rooms and common areas Coordination of all office maintenance which includes planned and reactive Ensure that facilities are well-maintained and comply with safety standards Managing relationships with external vendors, contractors, and service providers Overseeing security measures and safety protocols to protect employees and assets Managing budgets related to facility operations Planning and coordinating events that take place within the facilities, such as meetings, conference, or social gatherings Ensuring that facilities comply with relevant regulations and standards, including building codes and safety regulations. Be the main point of contact between facility users and management Support with any FM related projects To be considered for this role my client would like someone that has experience working in a similar role with a strong background in Facilities Management. Good written and verbal communication skills. First aid qualified / willing to train Experience in a facilities/ maintenance role Facilities Coordinator Experienced administrator with good IT skills (Microsoft Office) and other IT data systems Ability to work as part of a team and also individually and on own initiative Customer focused with experience of providing good customer service Positive, proactive with good organisational skills and attention to detail Self-motivated, capable of being sensitive with good communication skills Flexible with ability to multi-task A PVG check will be completed upon offer of this role. Responsibilities include Process of requests to create, amend and maintain Purchase Orders Liaise with the relevant team for any purchase order queries or requests not in the administrator access Run SAP reports as requested by Project Engineers and to verify Internal Order transactions Deal with queries received in the shared email address for the Admin team or by direct email Monitor and resolve any blocked files Process of goods received not invoiced Update weekly safety statistics in preparation for Team Meeting Monitoring of compliance hub tasks Maintaining shared files and updating procedures Ensuring Project Engineers update reports and submit documentation by deadline Attend project meetings and recording minutes / update action trackers Schedule meetings and Zoom calls on behalf of Project Engineers Support with completing project reports and updating databases.
