Efficient administrative staff with strong customer service skills are essential to the smooth operation of courts and tribunals within HM Courts & Tribunals Service (HMCTS). HMCTS adopts Lean principles and continuous improvement practices to ensure high standards of service delivery across all functions.



Role Overview

Administrative Officers play a key role in supporting the progression of cases through the court and tribunal system. Working within a structured framework of systems and standard operating procedures (SOPs), the role involves a wide range of administrative and operational duties.

You will be part of a supportive team environment, with opportunities to use initiative, contribute to process improvements, and assist court users, including judiciary members and legal professionals. Some roles may require occasional flexibility to work across other local HMCTS offices.



Key Responsibilities

Administration

  • Prepare papers and files for court hearings, tribunals, and meetings
  • Produce court and tribunal documentation
  • Carry out general administrative tasks including filing, photocopying, and data entry
  • Manage post, including opening and dispatch
  • Organise meeting rooms, training sessions, and group activities
  • Prepare agendas, handouts, and joining instructions


Drafting

  • Produce standard correspondence, reports, minutes, and submissions in line with guidelines


Operations

  • Clerk civil and family courts, tribunals, and hearings
  • Support court users and assist with scheduling, listings, and rota management
  • Handle enquiries via face-to-face, telephone, and written communication
  • Issue court documents, collect fines/fees, and process payments (including chip and pin)
  • Contribute to team meetings (TIB) and continuous improvement initiatives
  • Undertake ad hoc duties such as Jury Bailiff Officer or Health & Safety roles


Casework Processing

  • Manage case-related documentation including court orders, claims, and legal aid
  • Accurately record court outcomes and maintain case files
  • Meet workload targets for accuracy and throughput


Checking & Verification

  • Review documents, records, and data for accuracy and compliance
  • Validate work completed by colleagues where required


Information Handling

  • Gather and compile data for reports, statistics, and court activities
  • Prepare case bundles and chase outstanding information
  • Support daily team briefings and reporting processes


Calculations & Reporting

  • Produce basic statistical reports and process financial data
  • Reconcile accounts and prepare invoices where required
  • Assist in jury management and forecasting


Communication

  • Liaise with judiciary, legal professionals, internal teams, and external stakeholders
  • Provide clear guidance on court procedures and documentation
  • Deliver a professional, efficient, and customer-focused service at all times


Additional Duties

  • Work flexibly to support operational needs
  • Undertake any reasonable duties as requested by management in line with the role
