Job Description

A leading US global bank is hiring a Corporate Meetings & Events Specialist on an initial 6-month contract to join its London-based Meetings & Events team. This role sits within Business Execution and supports enterprise-level events, conferences and multi-day meetings for business groups and enterprise functions across the bank.

About the role

You will plan, manage and execute the full lifecycle of in-person corporate events, from venue sourcing and vendor negotiation through to onsite delivery, attendee management and post-event reporting. You will partner closely with Sourcing & Contracting, Marketing, and LOB liaisons, and you will be the day-to-day owner of logistics, communications and contingency planning across your event portfolio.

Key responsibilities
  • Plan, manage and execute all logistical aspects of enterprise-level, multi-day meetings, conferences and events (typically 50-250 attendees)
  • Book venues, restaurants and meeting rooms; manage catering, dietary requirements and final numbers
  • Oversee attendee management end-to-end: guest lists, registrations, invitations, badges, and event materials
  • Partner with Sourcing & Contracting on vendor bids and negotiation
  • Build and maintain vendor relationships including production, DMCs, hotels and speakers
  • Process, pay and track all event-related invoices; support budget finalisation and spend tracking
  • Provide cover for analyst marketing activities and roadshows when required
  • Ensure adherence to compliance and privacy regulations and identify/manage event risk
  • Order branded merchandise and manage ticket submissions through the internal Ticket Management System
Must-have experience
  • 2+ years of corporate meeting and event management or planning experience
  • 2+ years within the Financial Services industry
  • Solid hands-on experience with an event management tool
Desirable
  • Experience with CVENT or comparable event management platform
  • Onsite planning and execution experience for events of 50-250 attendees
  • Contract negotiation experience with productions, DMCs, hotels and speakers
  • Strong ability to prioritise, hit deadlines and operate under pressure in a dynamic environment
  • High emotional intelligence and professional etiquette
  • Comfortable handling confidential information
