Team Assistant
Location: Bank Street, Canary Wharf
Role Type: Contract - 12 months rolling
Work Setup: Onsite - 5 Days in the Office, 8:00AM - 5:30PM

Who You Will Work With

Our client is a global financial services firm that manages wealth, navigates complex markets, and designs strategic financial objectives. The firm provides risk management solutions across a variety of sectors, emphasising long-term relationships, and innovative approaches to financial challenges.
What You'll Do

Diary Management:

  • Proactively manage schedules, prioritising urgent tasks and resolving conflicts.
  • Arrange meeting venues, conference calls, video facilities, catering, etc.
  • Communicate effectively with internal teams and external clients, including senior executives, to build strong relationships globally.
  • Act as a gatekeeper for requests and manage emails/calls, extracting key information.
  • Prepare meeting data packs and ensure attendees are fully briefed.
  • Handle confidential information and maintain CRM systems.
  • Screen calls, relay messages, and assist with ad hoc tasks like filing, printing, recruiting processes, or personal requests.

Travel & Expenses:

  • Organise complex travel itineraries (flights, hotels, visas) and events while adhering to policies.
  • Ensure expenses are processed efficiently within firm guidelines.

Teamwork:

  • Provide phone cover and support for colleagues during breaks or absences.
  • Maintain updated handover notes for seamless coverage.

What You Bring

  • Proven admin experience with ownership of tasks.
  • Confident communicator with a friendly personality who can liaise at all levels.
  • Calm under pressure; adaptable to last-minute changes.
  • Discreet and professional with a proactive approach.
  • Highly organised with excellent time management skills and attention to detail.
  • Strong knowledge of Microsoft Office (Excel/PowerPoint/Word/Outlook).
  • Typing speed of 50+ wpm; training on systems provided.
