About the Role
My client is a true leader in their field and has been trading for over 10 years with year-on-year growth over this time.
They are now looking for a highly organised Operations Coordinator to join their friendly office team and play a central role in keeping their service running smoothly.
The Opportunity
This is a pivotal position acting as the link between clients and field personnel. You will take full ownership of scheduling activities - from initial enquiry through to completed appointment - ensuring efficient diary management and excellent customer experience.
This role is ideal for someone who thrives on organisation, enjoys problem-solving, and takes pride in delivering a seamless, well-structured operation.
Key Responsibilities
Client Liaison
- Act as first point of contact via phone and email, delivering a professional and responsive service
- Manage booking enquiries, reschedules and general queries
- Build and maintain strong relationships with clients, including proactive management of repeat/annual bookings
- Handle last-minute changes and resolve scheduling issues with minimal disruption
Scheduling & Coordination
- Plan and manage field diaries, balancing client needs with operational efficiency
- Organise appointments geographically to optimise travel and productivity
- Confirm bookings with both clients and field staff
- Monitor schedules to identify and resolve gaps, clashes or inefficiencies
Operations & Administration
- Maintain accurate client and job records within a CRM system
- Coordinate documentation flow including job sheets and certificates
- Support timely delivery of service documentation to clients
- Identify and escalate operational improvements where appropriate
Skills & Experience
Essential
- Proven experience in scheduling, coordination, or diary management (e.g. field service, logistics, healthcare or similar)
- Excellent communication skills, both written and verbal
- Strong organisational skills with high attention to detail
- Confident using systems and software (CRM or scheduling tools)
- Ability to manage multiple priorities in a fast-paced environment
- Calm, solution-focused approach under pressure
- Self-motivated with the ability to work both independently and within a small team
Desirable
- Experience coordinating a mobile or field-based workforce
- Familiarity with CRM/database systems
- Understanding of geographic planning or routing
