Our client, a well-established global insurance firm based in the City, is seeking a proactive Facilities Assistant to join their new office. This is an excellent opportunity for someone with facilities or administrative experience to join a fast-paced, collaborative environment within professional services.

This role is an urgent hire and we are looking for a candidate who can start on 1st September at the latest!

Key Responsibilities

  • Track departmental budgets and spending using Excel-based systems
  • Maintain accurate financial records in SAP Concur to support transparency and spending control
  • Support security operations, including access passes, out-of-hours access, and liaison with building security to maintain a safe working environment
  • Distribute internal mail and manage outgoing external mail
  • Arrange courier services
  • Order and distribute stationery supplies
  • Support archiving control processes
  • Assist with moving furniture and other office items
  • Monitor coffee machine stock levels and refill supplies as needed
  • Monitor stock in the stationery cupboard, including tea, coffee, and stationery supplies
  • Keep the internal caf area fully stocked at all times
  • Support all audio-visual queries and enquiries
  • Comply with company and regulatory policies, procedures, and mandatory training requirements
  • Assist with ad hoc tasks as required
What We're Looking For
  • Demonstrable work experience within facilities or a similar role such as office manager or administrator
  • Working knowledge of Microsoft Excel, Word, and Outlook
  • Strong written and verbal communication skills
  • Ability to use own initiative
  • Punctual and conscientious, with a "can do" approach
  • Enthusiastic, flexible, and a strong team player
