Job Description

Our client, a well-established and independent maintenance and installation company based in Chichester, is looking to recruit a Bookings Administrator to join their busy Service Department. The company operates both nationally and internationally and has built a strong reputation for quality, reliability and excellent customer service. This is a full-time, permanent position offering a salary of up to 27,000 per annum.

This is an excellent opportunity to join an established and successful business where you will play a key role in supporting the day-to-day coordination of the service operation. Working closely with engineers, customers and internal teams, you will be responsible for ensuring maintenance, installation and reactive works are planned and scheduled efficiently, while providing a high level of customer service and administration support. The role would suit someone who enjoys a varied working environment, is confident managing competing priorities and can remain organised and adaptable when workloads change.

Key Responsibilities

  • Planning and scheduling maintenance and installation works
  • Coordinating engineers and organising daily workloads
  • Managing and coordinating reactive call-out works
  • Arranging customer visits and confirming appointments
  • Working to deadlines and ensuring jobs are scheduled and completed efficiently
  • Preparing and sending customer quotations
  • Liaising with customers by phone and email
  • Providing excellent customer service and keeping customers updated
  • Maintaining accurate records and updating internal systems
  • Carrying out general administration duties
  • Coordinating with engineers, customers and internal teams to ensure works run smoothly
  • Managing changing priorities and responding effectively to urgent requirements

The Successful Candidate Will Have

  • Previous experience in a bookings, scheduling, service administration or coordination role
  • Excellent organisational and time-management skills
  • The ability to work effectively in a fast-paced environment
  • Strong attention to detail and the ability to work to deadlines
  • Excellent communication and customer service skills
  • Good systems proficiency and confidence using computer-based systems
  • The ability to prioritise and manage multiple tasks simultaneously
  • A flexible and adaptable approach to changing workloads
  • A proactive, professional and positive attitude
  • The ability to work both independently and as part of a team
  • Experience within a maintenance, engineering or installation environment would be advantageous
