We're looking for a highly organised Governance Coordinator to support senior stakeholders and ensure governance processes run smoothly and effectively.
This is an excellent opportunity for an experienced administrator, board support professional, executive assistant, or governance professional who enjoys coordinating meetings, managing documentation, and producing high-quality minutes.
The Role
You'll be responsible for coordinating meetings, preparing documentation and ensuring that accurate records are maintained. Minute taking will form a significant part of the role, requiring exceptional listening, written communication, and organisational skills.
Key Responsibilities
Governance & Minute Taking
- Coordinate Board, committee and governance meetings.
- Prepare agendas, reports and meeting packs.
- Attend meetings and produce clear, concise and accurate minutes.
- Capture discussions, decisions and actions effectively.
- Distribute minutes and monitor action completion.
- Maintain governance records and documentation.
- Support compliance and governance best practices.
Administration & Coordination
- Manage governance calendars and meeting schedules.
- Coordinate diaries and stakeholder availability.
- Maintain policies, procedures and governance documentation.
- Ensure records are accurate, compliant and up to date.
- Support wider administrative and project-based activities.
- Build positive relationships with internal and external stakeholders.
Essential Experience & Skills
- Previous administration, governance, EA/PA or office support experience.
- Strong minute-taking experience.
- Experience coordinating meetings from start to finish.
- Excellent written and verbal communication skills.
- Advanced attention to detail and proofreading ability.
- Strong Microsoft 365 skills, including Word, Outlook, Teams and Excel.
- Ability to handle confidential and sensitive information.
- Excellent planning, prioritisation and organisational skills.
- Ability to work to deadlines and manage multiple priorities.
- Flexibility to occasionally attend meetings outside normal working hours.
Desirable
- Experience supporting Boards, committees or governance functions.
- Full UK driving licence.
